1. Getting started with ginlo Business

1.1. Welcome to ginlo Business

ginlo Business is your new messenger for secure business collaboration. You can use it to communicate with your colleagues, external partners, but also with users of the ginlo Private app.

This guide will take you through the steps of setting ginlo Business up on one or several devices. If you come across problems that this guide can’t help you solve, please contact your ginlo Business administrator or our Customer Care at b2b-support@ginlo.net.

1.2. Create your account

To get started, create your account either in the mobile app or in ginlo Web Messenger. You can use either your business e-mail address or your mobile number.

Important

  • If you’ve been invited by a company, please use the e-mail address or mobile number to which the invitation was sent.

  • Using a mobile number currently only works in the mobile app.

1.2.1. Create your account in the mobile app

  1. Install the ginlo Business app via the Apple App Store or Google Play Store.

  2. In the app, tap Get Started > Create Account.

  3. Define a device password and confirm it on the following screen. This password is used to encrypt all your content.

  4. Enter your business e-mail address or mobile number.

    Note

    If you’ve been invited by a company, please use the e-mail address or mobile number to which the invitation was sent.

  5. Enter the confirmation code you’ve received via e-mail or SMS.

  6. Your ginlo ID is displayed. You can pass this ID on to other ginlo or ginlo Business users, so they can find you – even if you don’t want to give them your e-mail address or mobile number.

  7. If you’ve been invited by a company, accept the invitation now. Then, your team admin can manage your account and provide you with a license.

    If you’re registering without an invitation, select Start Trial Now to start your free 30-day trial.

  8. On the Your Profile screen, enter a display name as well as your first and last name. You can also add a profile photo and additional contact details.

  9. To look for ginlo users in your smartphone’s address book, confirm the permission prompt with Yes.

    The users found will later be listed in the Contacts section (see also “Manage your contacts”).

    Important

    Access to your address book is only needed to match you with your contacts. We never access these details in plain text.

Done! ginlo Business is up and running. You can now start your first chat (see also “Start chatting”) or find more contacts to chat with (see also “Manage your contacts”).

1.2.2. Create your account in ginlo Web Messenger

  1. Open your browser and go to https://web.sims.me.

  2. Click Trust (and Store Data).

    Important

    • To create an account, please only use a computer and network you trust.

    • If you click Don’t Trust, all your data will be permanently deleted after logout and can only be restored if you’ve set up a second device in the meantime.

  3. Click Create Account.

  4. Enter your business e-mail address.

    Note

    If you’ve been invited by a company, please use the e-mail address to which the invitation was sent.

  5. Enter a device password and confirm it.

    Note

    This password is used to encrypt all your content. You’ll have to enter it to log in again in the same browser.

  6. Enter the confirmation code you’ve received via e-mail.

  7. Add a display name and, as an option, a profile photo.

  8. Your ginlo ID is displayed. You can pass this ID on to other ginlo or ginlo Business users, so they can find you – even if you don’t want to give them your e-mail address or mobile number.

  9. If you’ve been invited by a company, accept the invitation now. Then, your team admin can manage your account and provide you with a license.

    If you’re registering without an invitation, select Start Trial Now to start your free 30-day trial.

Done! ginlo Business is up and running. You can now start your first chat (see also “Start chatting”) or find more contacts to chat with (see also “Manage your contacts”).

1.3. Manage your contacts

Once you’ve set up the ginlo Business app or ginlo Web Messenger, head right over to Contacts to see if there are already users to chat with. And if a certain user is missing, you can find and add them with just a few clicks.

To access your contacts:

  • iOS-App: tap your profile photo in the top left and tap Contacts.

  • Android-App: open the menu and tap Contacts.

  • ginlo Web Messenger: click address-book in the left navigation bar.

1.3.1. View your existing contacts

The Contacts section consists of the following tabs:

1.3.2. Find and add a missing contact

A certain user is still missing in your Contacts? Here’s how you can find and add them:

  1. Open the Find a User screen.

    • iOS app: tap arrow-down and select Find a User.

    • Android app: tap three-dots in the top right and select Find a User.

    • Web Messenger: click bigplus next to the search bar and select Find a User.

  2. Enter the e-mail address, mobile number, or ginlo ID by which you want to search.

  3. Found the user you were looking for? Perfect, then just add a first and last name, fill in the other contact details if you want, and select Save Contact.

Done! Your new contact is now stored among the contacts from your address book (see also “View your existing contacts”).

1.4. Start chatting

Once you have one or more contacts, you can start your first one-to-one or group chat.

1.4.1. iOS- / Android-App

To start a one-to-one chat:

  1. iOS app: tap bigplus at the top right.

    Android app: tap circleplus at the bottom right.

  2. Tap New Chat and select or search for the desired user.

Done! You can now send your first message.

To start a group chat:

  1. iOS app: tap bigplus at the opt right.

    Android app: tap circleplus at the bottom right.

  2. tap New Group

  3. Enter a group name.

  4. Tap Add Participants, select the contacts you want to invite and tap checkmark.

  5. iOS app: tap Done

    Android app: tap checkmark

Done! You can now send your first message. All participants receive invitations and can join your group.

1.4.2. ginlo Web Messenger

To start a one-to-one chat:

  1. Click chatblue in the left navigation bar.

  2. Click bigplus next to the search field and select New Chat.

  3. Click the desired user.

Done! You can now send your first message.

To start a group chat:

  1. Click chatblue in the left navigation bar.

  2. Click bigplus next to the search field an select New Group.

  3. Enter a name for the group.

  4. Click Add Participant and select the contacts you want to invite.

  5. Scroll down to the bottom and click Save.

  6. Click Create Group.

Done! You can now send your first message. All participants receive invitations and can join your group.

1.5. Add an additional device

Once you’ve set up your first device, you can add additional ones to your account. If you do, all your content will be automatically synced between all of them.

1.5.1. Add a new mobile device

On your existing device:

  1. Open ginlo Business and go to Devices (Android) or Settings > Devices (iOS & ginlo Web Messenger).

  2. Select Add Additional Device.

    An activation code is shown to activate your new device.

On your new mobile device:

  1. Open ginlo Business and tap Get Started > I already have an account.

  2. Tap Add as Additional Device and confirm.

  3. Define a device password and confirm it on the following screen.

    This password is used to encrypt all your content.

  4. Enter your registered e-mail address or mobile number, or enter your ginlo ID.

  5. Enter the activation code shown on your existing device or tap Scan Code to scan it.

On your existing device:

  1. A security number is shown here and on your new mobile device.

  2. Verify that both number are identical and select Confirm Device.

Done! All your existing chats, files, and contacts are now downloaded to your new device, and you can start chatting. Any new content will be synchronized between all your devices from now on.

1.5.2. Add a new desktop device

On your existing device:

  1. Open ginlo Business and go to Devices (Android) or Settings > Devices (iOS & ginlo Web Messenger).

  2. Select Add Additional Device.

    An activation code is shown to activate your new device.

On your new desktop device:

  1. Open your browser and go to https://web.sims.me.

  2. Click Trust (and store data) to save your data encrypted in your browser and log in again later, or click Don’t Trust to have all your data deleted afer logout.

  3. Enter your registered e-mail address or mobile number, or your gonlo ID.

  4. Enter a device name. This name will later be shown in your list of active devices.

  5. Enter the activation coe shown on your existing device.

On your existing device:

  1. A security number is shown here and on your new mobile device.

  2. Verify that both number are identical and select Confirm Device.

On your new device:

  1. Wait until your new device is set up and your existing content is downloaded.

  2. Enter a device password and confirm it.

    Note

    This password is used to encrypt all your content. You’ll have to enter it to log in again in the same browser.

Done! You can now start chatting in your new device. Any new content will be synchronized between all your devices from now on.

1.6. Backup

A backup is a copy of your ginlo Business chats, files, and contacts stored encrypted outside the ginlo Business app. If you switch to a new smartphone and aren’t using ginlo Web Messenger, a backup is your only possibility to take your existing content with you and restore it on your new device.

Note

If you use ginlo Web Messenger, we recommend you set up a new smartphone as an additional device (see also “Add an additional device”) instead of importing a backup.

Important

  • Creating and importing a backup is currently only possible in the mobile app

  • You can only import the backup to a smartphone with the same operating system as the smartphone on which you’ve created the backup, i.e. from iPhone to iPhone or from Android to Android device.

  • Depending on how old your last backup is, you may still lose data, but not as much as if you had not taken this precaution. :-)

1.6.1. Create a backup

If you have an iPhone, just create a backup in your app, and you’re done. It will be saved to Apple iCloud in encrypted format.

If you have an Android smartphone, your backup will be stored locally, so please copy it to somewhere outside your phone, e.g. your computer.

1.6.2. Create a backup in the mobile app

  1. Go to Settings > Chats > Backup.

  2. Tap Create a Backup Now.

    In Android, please allow the app to access your files as your backup will be saved on your device.

  3. Enter a backup password and confirm it on the following screen

    Note

    This password is used to encrypt your backup before it is uploaded to Apple iCloud (for iPhones) or saved to your local device (for Android smartphones). You’ll need to enter it later to import the backup to a new device.

    Your backup is now being created. It is automatically updated on a regular basis in the interval you define (by default, it’s weekly).

    Important

    Note for iOS: The backup is only available when you see the note (available in iCloud) in the Backup section in Settings > Chats.

    In Android, the backup is available as soon as the timestamp is displayed.

1.6.3. Save Backup externally (Android only)

Since in Android your backup is saved locally, you need to copy it somewhere outside your smartphone. This step is needed to later transfer your backup to a new smartphone.

Important

We recommend you perform the following steps on a regular basis. Thus, you always have a recent backup available outside your smartphone, e.g. in case you lose it.

To save your backup outside your smartphone:

  1. Connect your smartphone to your computer.

  2. On your computer, open the device folder shown for your smartphone and look for the ginlo folder.

  3. Copy the entire folder, e.g. to your local computer, an external drive, or a cloud storage.

Note

Wherever you save your backup, it will be protected with the backup password you defined in the app.

1.7. Restore (Import Backup)

If you have an Android smartphone, you need to copy your backup to your new device before you can import it to the app.

If you have an iPhone, you can directly import the backup from Apple iCloud when logging in to the app.

1.7.1. Copy Backup to new Smartphone (Android only)

  1. Connect your smartphone to your computer.

  2. Copy the ginlo folder with your backup from where you’ve stored it.

  3. Paste it on the top level of the device folder shown for your smartphone.

1.7.2. Import Backup into Mobile App

  1. Install the ginlo Business app via the Apple App Store or Google Play Store.

  2. In the app, tap Get Started > I already have an account.

  3. Tap Import Backup and confirm.

  4. Define a device password and confirm it on the following screen.

    This password is used to encrypt all your content.

  5. Enter your registered e-mail address or mobile number.

  6. Enter the confirmation code you’ve received via e-mail or SMS.

  7. Select the Backup and tap Import Backup.

    In Android, please allow ginlo to access your files as your backup will be imported from your device.

  8. Enter the backup password you defined when creating the backup

Your chats, files, and contacts are now being imported. Depending on how old your backup is, you can continue chatting nearly where you left off on your old device.

Note

After importing a backup, you need to create a backup again on your new device.
